Distribution Lists

To Create a Distribution List:
Distribution lists allow you to create and send messages to a specific list or group of telephone numbers simultaneously. It eliminates the necessity of entering each
individual telephone number to which you wish to send the message.
Faculty, staff, and students may have up to ten separate distribution lists, however there may not be more than 200 total entries in all of your lists.
- Log into voicemail.
- From the main activity menu press
then press .
- Press
to create a list.
- Enter the list identification number followed by the pound sign
. The list identification number is a number that you assign to identify each list that you create. If you use a list identification number that is already in use, the voicemail system will inform you that a list already exists with that identification number. At that point, you can decide to use another number to identify your list or modify the existing list.
- You have the option of making the list private or public. If you make the list private, the recipient cannot forward the message. Press
to make the list private or press to make the list public.
- Key in each telephone number that should be in this list followed by
. When finished entering the numbers, press .
To Create a Message and Send it to an Existing Distribution List:
- Log into voicemail.
- Press
from the main activity menu and create a message.
- Press
to approve the message.
- When the system asks for the extension followed by the pound sign, press
.
- When asked to enter the "owners" extension, press
if you are creating the message from your own telephone.
- Enter the list ID number that identifies the group of telephone numbers that should receive this message.
- If there are additional telephone numbers that you wish to add to this list, enter each one followed by the
sign. When you are finished entering the telephone numbers, press to approve your list. Press to send the message.
You will then return to the main activity menu.
