| For decades, the Social Security Number (SSN) has been used
as an ID number for each individual associated with the
University community. Because the University is committed
to protecting the privacy of individuals, President Mote approved the Policy on Collection, Use and Protection of ID Numbers on May 31, 2005, and a plan has been
developed to limit the use of SSN and promote the use of
alternate identifiers. It will always be necessary to
obtain and store the SSN for students and employees, as it
is used for administering financial aid programs, complying
with State and Federal reporting requirements, generating
federal tax forms and exchanging student data between
post-secondary institutions. However, it will be used in
limited cases in more secure environments. The long-term
goal is to convert all University systems to use alternate
identifiers.
Two alternate identifiers will be used:
- U ID Number – a nine-digit number that is randomly assigned to all
students and employees, is never reused, stays with a person
for life, links database records for a person, and provides
an alternate means of communicating with a person, sending
data, or logging in to University Systems.
- Directory ID – a reusable, alphanumeric ID network
identifier assigned to current students, employees and affiliates/guests, that
is generally the first initial and part of the last name of
an individual, is used in combination with a password to log
into University systems, and is also used as part of a
user’s email address for the new OIT supported email system.
The University recognizes that many of its major systems are
currently keyed to the use of SSN and that the conversion of
all systems will take time and resources. A plan with short
and long term tasks has been developed.
